Importing Student Data to Easy Grade Pro

  1. Ask Mr. Tomlinson to prepare class data files for you that you can import into Easy Grade Pro. He will prepare files for each section you teach. These files contain student names, ID numbers, grade levels, addresses, telephone numbers, birthdates, and parent names. Once you have the files from him, you can set up your gradebook without having to type in any of this data.
  2. Open GradebookStarting from scratch, choose "Create a New Gradebook" from the screen that appears after launching Easy Grade Pro, or, if some existing gradebook opens automatically, choose "File > Close" from the menu bar and then "Create a New Gradebook" from the screen that appears.
  3. Guide MeEZGP notifies you that your new gradebook has no classes. Click on the "Import Classes" button.
  4. ImportIn the resulting Import window, click once on "Import from an EGP Gradebook" and then click the Next button.
  5. New ClassType a name for your first class in the indicated space. Then, click on the Term (quarter) you want to set up, and click the OK button.
  6. The standard "Open file" dialogue window appears; it will look different depending on which computer operating system you use (Windows 98, Windows XP, Mac OS 9, Mac OS X, etc.). Navigate to "EasyGradeFromSASi.egp," the template file. There is a copy of it on the Resources sharepoint (Resources>Staff Folder). Select and open the template file "EasyGradeFromSASi.egp."
  7. Import OptionsIn the "Import from EasyGradeFromSASi.epg" window, click the "Gradebook" tab, then click "Import Formats" in the right pane of "Gradebook Items to Copy," and click the Import button. (The idea is that you are copying a custom import format to use when importing data files created for you from SASi.)
  8. Import WarningClick the Yes button in the resulting warning window:
  9. Import Again?You have now imported the custom "import format," which sets up Easy Grade Pro to import the data from SASi correctly. Easy Grade Pro asks if you want to import again. You do; this time, you will import the actual data files for your classes that were created from SASi, so click the "Yes" button.
  10. Import Other FormatsThis time, click the "Other Formats" tab in the Import window. Then click "file from Tomlinson" and the Next button.
  11. Current Class?Click the Current Class button (you created an empty class while importing the Import Format; now you are importing student data to it).
  12. Again, the standard "Open file" dialogue window appears; it will look different depending on which computer operating system you use (Windows 98, Windows XP, Mac OS 9, Mac OS X, etc.). Navigate to the files that were prepared for you (e.g., p1.tab). Select the class/section you want to set up, and click the Open button.
  13. Import PreviewThe Import Preview window opens. It should look something like the picture below. Click the Import Selected Records button.
  14. A small window informs you of the results of your Import; click the OK button.
  15. Easy Grade asks you if you want to import again. If you have other classes to set up, click the Yes button and repeat the import steps above. Otherwise, click No.
  16. Class ListYou will see your student names already set up in your gradebook.
  17. Student DataDouble-click any name, and you will see that the student record already has data filled in, including the studentÕs name, ID, grade level, address, telephone, parents, birthdate, and even a randomly-chosen password, which students need if you publish your grades to your school web site (this is very simple and quick to do; see other guide).
